Registrations are limited and may sell out, please register early!

Registration Opens June 15!

Registration will open on June 15 for attending delegates. As capacity is limited, we are in the process of getting all the invited speakers, sponsors, exhibitors and poster presenters registered, before opening registration to other attendees.

Please note: Invited speakers, sponsors, exhibitors and accepted poster presenters will be emailed links to register before this date.

Annual Meeting Registration

All registration fees are in Canadian Dollars and a 15% Harmonized Sales (HST) tax applies. Registration fees include delegate materials, coffee breaks, lunches, access to the poster sessions, access to the social events, and five days of scientific program. Additional social event tickets can be purchased during registration. Early Bird Registration ends at 23:59 Atlantic Time on Sunday, July 28, 2024. Late/Onsite Registration follows at 12:00 Atlantic Time on Monday, July 29, 2024.

Early Annual Meeting Registration (before July 29, 2024) – CAD $1,100 plus 15% HST
Late/Onsite Annual Meeting Registration (after July 28, 2024) – CAD $1,200 plus 15% HST

Accompanying Person Registrations

Accompanying Person registrations include access to the Welcome Reception and Awards Banquet only. They do not include access to coffee breaks, lunches, poster sessions, and the scientific program.

Accompanying Person Registration – CAD $250 plus 15% HST

Name Badges

Name badges are required to always be worn for access to sessions and functions. If a name badge is lost, a CAD $40 plus 15% HST administrative fee will apply to a badge reprint.

Method of Payment

Registration fees can be paid by credit card (Visa or MasterCard), bank transfer, or cheque. Currency exchange charges, bank collection fees, and credit card chargebacks are the responsibility of the delegate. The registration fee category is not confirmed until full payment is received. (Should the Early Bird registration deadline be missed, the Late/Onsite registration fee category will apply).

Credit card is the preferred method of payment and results in an instant confirmation of registration. All transactions by credit card will appear on the delegate’s statement as a payment to Venue West Conference Services. Delegates wishing to pay by bank transfer or cheque will receive an invoice containing payment instructions with their registration confirmation email. Invoices are payable within 21 days of receipt, or before the first day of the Annual Meeting if the registration date is less than 21 days prior. Delegates must include their name, ‘IBA 2024’, and invoice number on their bank transfer or cheque payment. Proof of the bank transfer or cheque payment must be submitted via email (iba2024-registration[at]venuewest.com) to the Secretariat.

Registration Cancellations

Registration cancellations are permitted until 23:59 Atlantic Time on Sunday, July 28, 2024. Delegates will receive a full refund less a CAD $50 plus 15% HST administrative fee for full Annual Meeting cancellations and a CAD $25 plus 15% HST administrative fee for Accompanying Person cancellations. Cancellations must be submitted via email (iba2024-registration[at]venuewest.com) to the Secretariat. If payment was made by bank transfer or cheque, the email must include all the information and instructions required for the refund to be remitted. Delegates who cancel after the cancellation deadline are ineligible for a refund, however, transfer of registration is permitted until 23:59 Atlantic Time on Friday, August 30, 2024. (This policy does not apply to complimentary registrations).

Transfer of Registration

Delegates wishing to transfer their registration to another person must submit their registration ID along with the name and contact details of their replacement via email (iba2024-registration[at]venuewest.com) to the Secretariat no later than 23:59 Atlantic Time on Friday, August 30, 2024. (This policy does not apply to complimentary registrations).

Insurance

Registration fees do not include insurance of any kind. It is strongly advised that at the time of registration for the Annual Meeting, delegates take out an insurance policy of their choice in their country of origin. It is recommended that the policy include coverage for loss of registration fees through cancellation of attendance, loss of airfare through cancellation of any kind, and loss of tour monies through cancellation of any kind including airline or related service strikes, airline delay, or force majeure. It is recommended the policy also include coverage for medical expenses, loss or damage to personal property, and any additional and repatriation expenses due to changes in travel plans. The Organizer and Secretariat cannot be held responsible for delegates who fail to arrange insurance.

Invitation Letters

To receive an Invitation Letter, delegates must pay their registration fees in full. Delegates applying for visas must do so by early June 2024. Should delegates not be approved for a visa, all fees paid will be refunded less a CAD $50 plus 15% HST administrative fee if they provide the official visa letter of refusal and proof of their application date (early June 2024) via email (iba2024-registration[at]venuewest.com) to the Secretariat no later than 23:59 Atlantic Time on Sunday, July 28, 2024.
